Deposits for large tables: when, how much, and how to say it

A fair deposit protects your busiest nights without scaring anyone off. Here is how to set one up so guests barely notice it.

A long table laid for a group dinner

Large tables are wonderful when they show up and painful when they do not. A deposit is the simplest way to make both sides commit, as long as it feels fair.

When to ask

Start small. Most restaurants only ask for a deposit:

  • for groups above a certain size, often six or eight
  • on the busiest services of the week
  • for special evenings with a set menu

Everyone else books exactly as before.

How much

Keep it modest and per guest, so it scales with the table. The aim is a commitment, not a pre-payment for the whole meal.

How to say it

The wording matters more than the amount. Say what it is for, and what happens to it:

  1. It holds your table.
  2. It comes off your bill on the night.
  3. It is refunded if you cancel in time.

Refunds without the awkward call

When a guest cancels within your notice period, the refund should happen on its own. Nobody should have to chase you for their money, and you should not have to remember to send it.

Running a waitlist guests don't hate

A full night is a good problem. A fair, clear waitlist turns disappointed guests into the ones who fill your next cancellation.
